Texas Pool Secretary needed
The Texas Pool is looking for a dedicated and motivated volunteer to fill our year-round Secretary position! He or she supports the Board of Directors leadership assisting in the organization of board team meetings, keeps and distributes board meeting minutes, prints copies and signage as needed, responds to Foundation and Texas Pool correspondence and charitable requests, emails, and phone calls. Maintains Texas Pool Foundation records.
With their service, the Secretary receives one complimentary family membership to the pool and one free party for up to 100 people. Keys to the facility and other nominal perks like guest passes, t-shirts, etc. are also available.
Position Responsibilities:
- Collect, and maintain Texas Pool Foundation meeting minutes and vote tabulations, archives, reports, statements, certificates, records, files, and other documents to ensure availability for inspections
- Assist with organizing Foundation corporate functionality according to the Bylaws
- Attend board meetings, take or delegate and record meeting minutes to save on Google Drive
- Respond to all communications promptly (email, calls, texts)
- Draft, edit, and/or copy all official documents (membership, liability, etc.) as needed
- Write and mail thank you notes and conduct other minor secretarial duties.
- Stock/purchase office supplies as needed.
- Encourage volunteerism and mentor new recruits
- Volunteer at Texas Pool events consistently
Qualifications Preferred:
- Ability to work well with a diverse group of staff and volunteers, good communicator
- Outgoing, positive attitude
- Attentive to detail, strong organizational, editing and proof-reading skills
- Availability to respond to last-minute requests
- Word processing skills for working with online software and Microsoft
Time Commitment: Hours vary, but the expectation is about 5 hours per week in late spring/summer with 5 hours per month in the off season.
